Designing and managing the exhibition environment for the official launch of The Hasanah Report 2024

Yayasan Hasanah commissioned VISIOLAB to produce the event environment for Hasanah Impact Day 2025 — the official public launch of The Hasanah Report 2024, themed "The Strength of Small: Small Efforts, Big Impact." Held on 22 May 2025 at Connexion Conference & Event Centre, Bangsar, the full-day event brought together CSOs, social enterprises, grantees, and changemakers from across Malaysia — serving simultaneously as the premiere of Hasanah Impact Stories and a grant briefing platform for prospective applicants across Hasanah's five impact areas.

At the heart of the event's visual concept was a quietly powerful idea: that every small act of change is a point of light, and together they form something larger than themselves — a constellation of collective impact. This concept, first developed by VISIOLAB for this event, would later become the creative foundation for Yayasan Hasanah's 10th Anniversary celebration, where the constellation metaphor was carried forward and deepened into a full identity.

VISIOLAB's scope covered the full event environment — event visuals, coordination, and the design, curation, and fabrication of the exhibition panels at the centre of the day's impact showcase. Video content displayed at the event was produced separately by Yayasan Hasanah.

Project Overview

  1. Designing an Exhibition That Served Two Audiences at Once: Hasanah Impact Day attracted both existing grantee partners celebrating their impact and prospective new applicants learning about the grant process for the first time. The exhibition needed to speak authentically to both — inspiring the former while educating the latter, within the same physical space.
  2. Translating a Decade of Impact into Accessible Visual Panels: The Hasanah Report 2024 documents a complex, multi-pillar body of work — 814,563 individuals reached in 2024, 3.7 million since 2015, across 962 projects and 674 partners. Condensing this into panels that were immediately legible, emotionally resonant, and visually compelling required strong editorial curation alongside design discipline.
  3. Creating a Cohesive Event Environment Across Foyer and Ballroom: The event spanned a large pre-function exhibition corridor and a main conference ballroom. VISIOLAB needed to ensure visual consistency and spatial logic across both zones, so the experience flowed naturally from the exhibition walk-through into the main programme.

Project Challenges

  • A Concept That Outlived the Event: The constellation idea — each small effort a star, together forming something greater — was developed specifically for this event but proved durable enough to carry forward. It became the creative seed for VISIOLAB's subsequent work on Yayasan Hasanah's 10th Anniversary, demonstrating the value of concept-led design over purely aesthetic decision-making.
  • Editorial Before Design: Panel content was written and structured first, ensuring the design served the narrative. Each grantee panel was treated as a standalone editorial piece — concise enough to be read in passing, rich enough to leave a lasting impression.
  • Dual-Audience Design Logic: Exhibition content was layered so that bold stats and grantee headlines served the casual visitor, while deeper copy and QR-linked content rewarded those who paused — effectively serving both the inspired grantee partner and the prospective applicant.

Project Strategy

How We Solved Them:

  • Constellation-Led Visual Concept: The design system was anchored in the idea that every small act — every grantee, every community initiative — is a point of light in a larger constellation of change. This informed the spatial design, colour language, and tonal approach across all exhibition and stage materials, giving the event a unifying creative logic that extended well beyond surface branding.
  • Grantee-Story Exhibition Panels: VISIOLAB curated, wrote, designed, and fabricated the full suite of tall-format black exhibition panels — each dedicated to a specific grantee initiative including Mental Health Warriors of PPR Batu Muda, Weaving a Legacy: The Revival of Gilded Textiles in Terengganu, a reproductive health education programme in Kelantan, and others from The Hasanah Report 2024. Personal quotes, impact photography, and QR codes for deeper engagement were integrated into every panel.
  • Large-Format Impact Data Design: Bold, large-format panels displayed Hasanah's 2024 headline numbers — 814,563 people reached, 214 new projects, 147 new partners — making the scale of Hasanah's work immediately visible and tangible.
  • Stage Visuals & Event Branding: The ballroom stage was dressed with a full LED backdrop carrying the Hasanah Impact Day and The Strength of Small branding, flanked by branded cube plinths with globe lighting in Hasanah's green and white palette — consistent with the foyer exhibition throughout.

The Hasanah Gold Threads Awards (HGTA) 2024 presented a unique challenge. As a prestigious event recognizing exceptional contributions in a specific category, Yayasan Hasanah required a visually captivating and seamlessly executed awards ceremony that would not only honor the winners but also deliver an unforgettable experience to the attendees. They needed a partner who could manage both the creative and logistical aspects of the event, including designing the exhibition and handling the complex RSVP process for the awards dinner.

Our goal was to ensure that the event flowed smoothly while showcasing the excellence associated with Yayasan Hasanah’s values.

The event was held at Rumah Tangsi, Kuala Lumpur. The venue’s heritage status, limited size, and central location required careful planning to maintain the flow of the event. Additionally, the winning pieces exhibited were of high value, meticulously crafted, and extremely delicate, demanding careful handling and display solutions.

We approached this project by first identifying Yayasan Hasanah’s core pain points:

  • Comprehensive Event Planning: We created and managed essential event documentation, including the Event Master Plan, Zoning Master Plan, and Call Sheet for the Awards Dinner. This allowed for precise management of logistics, ensuring that everything ran on time.
  • RSVP and Attendee Management: We meticulously handled the RSVP process for the awards dinner on September 5, categorizing attendees based on the client’s specifications to maintain an efficient flow during the event.
  • On-Site Coordination: Our team was present on-site to manage all the logistics, technical details, and stage coordination. This ensured that the event was executed without any disruptions, allowing the client to focus on their guests and honourees.

We designed and executed detailed floor plans, adapting the event flow to suit Rumah Tangsi’s size and historical constraints. Our media team provided comprehensive coverage, including a livestream to engage virtual attendees. The intricate display of the winning pieces ensured both their security and prominence. Additionally, the RSVP process was streamlined for an efficient guest experience.

PETRONAS Rays of Hope: Uplifting Lives

This was "Amir and His Village," a title that hinted at a deeper connection we were about to discover.
Project Overview

This is a short documentary that took a month of planning and a heartfelt pitch before it got the green light.

We started our journey in the quiet of the night, leaving Cyberjaya's glowing skyline behind. Our destination was nestled deep in Pahang's embrace, where the modern world seemed to fade away. Arriving at Kuala Lipis at 3 am, we caught a few hours of rest before the real work began.

As dawn broke, we were greeted by a mesmerizing sight—the kampung waking up, a blend of tradition and the new dawn of progress. We met the acting Tok Batin, the village chief, and started to weave the story of a community being reborn through the support of Petronas.

PETRONAS had been working tirelessly, not just in Rakoh but all over Malaysia, empowering the various needy communities. They brought in solar-powered water filters, providing the villagers with a clean and constant water supply—a luxury in such remote areas. The night in Rakoh was no longer a veil of darkness; solar-powered lights now dotted the landscape, a beacon of safety and progress. Education was another cornerstone of their efforts, ensuring the villagers could maintain and grow with these new systems for years to come.

Yet, amidst this backdrop of change, we faced our own set of challenges. Language barriers and the unpredictable nature of working with children as our main actors tested our patience and creativity. But with the help of the villagers, especially one dedicated mother, we kept the shoot on track.

The documentary wrapped up later than planned, but the delay came with a silver lining—we captured the stunning sunset over a transformed village. Leaving was tough, especially when we saw our clients without a ride. So, in a spur-of-the-moment decision, we gave up our seats and hitched a ride on the back of the 4x4s, ensuring everyone got back safely.

VISIOLAB curated and managed the Speakers Retreat Welcome Dinner for The Hasanah Forum 2025 — delivering a culturally immersive welcome, lean onsite production, and full media coverage across morning and evening activities.

Yayasan Hasanah commissioned an intimate, culturally rich welcome experience to receive international speakers and introduce them to Malaysia’s heritage ahead of The Hasanah Forum. The brief required a warm programme that balanced ceremonial dignity with informal networking, fit into museum and off-site visits, and ran smoothly despite a compact crew and tight timelines. Logistics also required discreet, professional media capture across morning and evening activities while coordinating multiple third-party partners and performers.

Project Challenges

We developed a hospitality-first plan that prioritized guest comfort, cultural authenticity, and operational simplicity:

  • Curate a short, immersive programme that foregrounded Malaysian culture and created natural moments for conversation.
  • Keep production lean and highly coordinated: precise run-of-show, clear vendor briefings, and minimal on-site setup to suit a small crew.
  • Coordinate closely with venue teams and cultural contributors to ensure each segment—tour, demonstrations, performances, and dinner—flowed seamlessly into the next.
Project Strategy

Working with a compact five-person team (three event organisers and two media crew), VISIOLAB delivered end-to-end management and coverage:

  • Morning coverage: Our media team captured the delegation’s visit to Taman Tugu, Kuala Lumpur — a 66-acre urban green lung — documenting walks and cultural activities.
  • Museum experience: Managed a guided tour of the Islamic Arts Museum Malaysia, ensuring a smooth guest journey through a world-class collection of Islamic art.
  • Evening welcome dinner: Produced a warm dinner with curated cultural performances (gamelan and gambus) and concise speaker introductions. With no formal rehearsals, the team successfully managed all performances and timed segments through clear cueing and vendor coordination.
  • Media deliverables: Captured high-quality photo and video assets throughout the day and evening, providing Yayasan Hasanah with immediate, usable storytelling material.
Project Execution
  • Delivered a polished, intimate welcome that introduced international speakers to Malaysia’s culture and set a positive tone for The Hasanah Forum.
  • Smooth operation despite a lean crew and zero rehearsals—performances and timed segments ran faultlessly thanks to strong vendor coordination and on-the-ground direction.
